How to respond to Google reviews (positive, negative and unfair)

Updated November 4, 2026

Replies to reviews are read by far more people than the reviewer. A potential customer scanning your profile sees how you treat people when things go well and when they don't. Google also recommends replying, and active, responsive businesses look more trustworthy to everyone.

The basics

  • Reply to every review, positive and negative, within a few days.
  • Use the reviewer's name if they've given one, and mention the specific job.
  • Keep it short: two to four sentences is plenty.
  • Never share private details about the customer, their job or their account.
  • Write as a person, not a template. Vary your wording.

Replying to positive reviews

Thank them, mention what you did, and add something human. For example: "Thanks, Priya. Glad the new furnace kept you warm through that cold snap, and thanks for making space for our crew in the garage. See you at the first service visit." Mentioning the service and town naturally is fine; stuffing keywords into replies isn't.

Replying to negative reviews

Stay calm, and write for the next customer reading, not to win the argument. Acknowledge the problem, take responsibility for your part, and move the conversation offline. For example: "Mark, I'm sorry the job ran two days over. That's not the standard we aim for. I'd like to understand what happened and make it right. Please call me directly at the office."

  • Don't argue facts in public, even if you're right.
  • Don't offer refunds or discounts in the reply itself.
  • If you fix the problem, the customer may update their review. You can ask politely, but never pressure them.

Replying to unfair or fake reviews

If a review breaks Google's policies (it's fake, from a competitor, off-topic or abusive), report it for removal. While it's under review, a short, factual reply helps readers: "We can't find any record of a job under this name or at this address. If we've missed something, please contact us directly so we can look into it." Readers notice a calm reply next to an angry review.

Make replying a habit

Turn on review notifications in your Business Profile and set aside a few minutes twice a week. A steady pattern of reviews with thoughtful replies is one of the strongest trust signals a local business can show, to customers and to Google.

Questions

Should I reply to every Google review?

Yes. Replying to all reviews, including short star-only ones, shows you're active and care about customers.

Do review replies help SEO?

Replies mainly build trust with people reading your profile. Google recommends responding, and an active, well-managed profile supports your local visibility.

How fast should I respond?

Within a few days. For negative reviews, respond once you've calmed down and checked the facts, ideally within 48 hours.

Can I delete a bad review?

No, but you can report reviews that break Google's policies. Genuine negative reviews stay, so a good reply is your best tool.
